All of the files related to the Directories are contained in a folder named RetamaDirectory. The photos used in the Resident Photo Directory are stored in a folder called ResidentsPhotos kept inside the RetamaDirectory folder. The information for the Retama Directories is maintained in a Microsoft ACCESS database called Retama4.
- In the MS ACCESS database, run the ExportSpreadsheets Macro..
- In MS WORD, run the Generate Inserts macro in ProcessGenerateInserts.docm
- Ignore warning about error.
- Click on YES to SQL warnings when they appear, say No to save Template files.
- In MS PUBLISHER, open RetamaDirectoryPhotos.pub
- Scroll down to the first page of the Name Order list
- In the list, Ctrl-A to select the whole Name Order list, then hit the Delete Key
- In MS WORD go to InsertResidentPhotos, Ctrl-A to select whole document, then Ctrl-C to copy the highlighted area.
- In MS PUBLISHER, click inside the first Name Order List box, then Ctrl-V to paste copied document.
- Insert page if needed
- Back in MS PUBLISHER, scroll down to the first page of the Address Order list.
- In the list, Ctrl-A to select the whole Address Order list, then hit the Delete Key
- In MS WORD go to the InsertResidentsAddressOpen.docx, Ctrl-A to select whole document, then Ctrl-C to copy the highlighted area
- In MS PUBLISHER, click inside the first Address Order List box, then Ctrl-V to paste copied document
- Review the Address Order List looking for couples that are split by end of columns.. Add Enters to move the couples together.
- Review the Street Order list looking to insure both members at an address (if two) are together. Use Enters to adjust.
- At the end, insure the Page nn of nn is equal. If a page has been added or deleted, adjust the "of nn" by clicking on Insert from the top tabs, then Footer in the Ribbon and edit. Then click on Close Master Page.
- Print the ResidentsDirectory.pub into a PDF file.
- If Adobe asks about the photo links, navigate to the first document photo in the PhotoDirectory folder in the RetamaDirectory folder, highlight the first photo in the pub (could be name or PN).
- When Adobe asks if the same redirect should be used for the rest of the photos, answer yes,
- When Adobe Acrobat, offers the file name as ResidentsDirectory.pub, change the file name by adding the timestamp (_yyyy_mm_dd) at the end (ex: ResidentsDirectory_2020_12_10a). The "a" at the end is important for the next step.
- When the PDF file is completed and displayed in Adobe Acrobat, Select File / Save as Other / Reduced Size PDF...
- Answer YES to the popup, then when the file save box appears, remove the "a" from the file name end.
- Save the MS PUBLISHER document and then Print it using PDF as the format adding _yyyy_mm_dd (Ex: _2020_03_27) to the end of the file name before the PDF
- Close MS PUBLISHER and the two MS WORD documents without saving.
- Repeat steps 4-23 using RetamaOwnersDirectory.pub using InsertOwners.docx and InsertOwnersAddress.docx including the reduce the PDF file size, the "a" in steps 20-22.Repeat steps 4-23 using RetamaDirectory.pub using InsertResidents.docx and InsertResidentsAddress.docx.
- inside the Street Order list, Ctrl-A to select the whole list and hit the Delete Key
- Inside the Street Order list, click and then Ctrl-V to paste the copied document
Then upload the directory PDFs.
